Workplace Experience Coordinator (Part-Time)
Alida is looking for a Workplace Experience Coordinator to join our Toronto office on a part time basis, working 16 hours per week split over 4 days (4 hours per day). This role would suit someone who is able to be onsite in our Toronto office (located at 214 King St. West) and enjoys creating a positive work environment. You will be organized and excited about the prospect of being a strong presence in the office - you will be the go-to person for employees in the day-to-day running of the office, and will support with general admin tasks across various departments including IT and procurement.
Responsibilities:
- Manage inventory of office supplies and snacks, maintain the office condition, and arrange necessary repairs to equipment
- Greet visitors and assist in the onboarding process for new hires as needed
- Liaise & manage relationships with building maintenance representatives & associated trades, office vendors, and couriers as well as with facility management vendors, cleaning staff and catering services
- Support Workplace Experience Specialist to update & maintain office policies as necessary, in collaboration with the HR team
- Support the leadership team to coordinate and book travel arrangements and accommodations
- Organize office operations and procedures, coordinate and support the IT department on office equipment and infrastructure (i.e. IT equipment storage, access card management, procuring IT equipment)
- Address employee requests regarding office management issues, coordinate and oversee execution of logistics for all onsite events in the Toronto office
- Manage office health and safety programming, ensuring compliance to all program requirements
- Support procurement operations and processes ranging from but not limited to contract management, act as a point of contract for procurement-related inquiries, collaborating with cross-functional leaders on procurement requests
- Maintain office organization by ensuring all team members follow policies and procedures, including booking desks and meeting rooms
- Ensure office security by maintaining compliance and safety protocols, such as checking in guests, visitors, and vendors, and keeping doors closed.
- Physically carry-out minor furniture repairs & moves when needed (regularly required to stoop, kneel, bend, crouch and lift up to 15 pounds)
- May be required to support ad-hoc requests or projects as deemed necessary from time to time
You should have:
- Previous experience as an Office Assistant or Administrative Assistant
- Experience with a variety of office software tools including Gmail, Google Drive, Slack, SAP Concur and Zip. Experience with ServiceNow is a plus.
- Flexibility in working hours is required from time to time to support the planning and execution of in-person events, including QBRs, summits, and culture events, etc.
- Agility and ability to pivot between competing priorities will be necessary given the fast-paced nature of our business.
- Strong interpersonal skills - you create a warm, inclusive, and fun environment where others feel welcome, valued and comfortable in our office.
- Excellent written and verbal communication skills.
- Strong sense of professionalism and diplomacy with demonstrated ability to establish, build, and maintain relationships with internal and external business partners.
- Highly organized and detail-oriented with strong planning, time management, and prioritization skills.
- Proactively identifies and suggests improvements to enhance the overall workplace experience.
Additional details:
- The typical salary range for this role in Canada is $25,000-30,000 CAD on a part-time basis, depending on experience.
